This policy describes how refunds are made through:

Our Refund Policy forms part of, and must be read in conjunction with, our Terms and Conditions, Privacy Policy, and Cookie Policy. We reserve the right to change this Refund Policy at any time. Our Refund Policy does not affect your statutory rights.

1. REFUNDS FOR COURSES AND DIGITAL PRODUCTS

We stand behind our services and your satisfaction with our courses is important to us, so we make refunds if the customer is not satisfied with our courses.

1.1 Course Refund Eligibility

Requests for refunds of our courses and digital products must be made within 7 days of the date of purchase and registration of the course or the establishment of the contract. If 7 days have passed since the date of purchase and registration of the course or the establishment of the contract, we cannot offer a refund.

Eligible for Refund:

  • DIY (do it yourself) online courses purchased through our website

  • Digital training materials and downloadable resources

  • Virtual workshops and webinars (if not attended)

  • Coaching program fees (within first 7 days before services begin)

NOT Eligible for Refund:

  • Courses or programs where 7 days have passed since purchase

  • Courses where content has been substantially accessed or completed

  • Free courses or promotional offerings

  • Physical materials that have been shipped (see Section 1.4)

1.2 Requesting a Course Refund

Please check the course features and prices before placing an order.

To request a refund:

  1. Contact us within 7 days of purchase through:

  2. Your refund request must include:

    • Full name of the user or buyer

    • Order number or transaction ID

    • Email address associated with the purchase

    • Reason for refund request (optional but helpful)

    • Date of purchase

  3. We will review your request and respond within 2-3 business days

1.3 Overcharges and Billing Errors

If at the time of payment for services or courses you are overcharged or notice a billing error, contact us immediately and we will make the respective correction and refund.

1.4 Physical Materials

If your course or program includes physical materials (workbooks, kits, printed materials):

  • Refunds will not be issued if materials have been shipped

  • If materials have not yet shipped, a full refund may be available

  • Returned physical materials must be in original, unopened condition

2. REFUNDS FOR ABA THERAPY SERVICES

2.1 ABA Therapy Session Refunds

Applied Behavior Analysis (ABA) therapy services provided by Key Essentials to Behavior Management, Corp follow different refund policies based on insurance coverage and payment method.

Insurance-Funded Services:

  • Refunds are subject to insurance company policies and authorization terms

  • Cancellations must follow our cancellation policy (see Section 2.3)

  • No refunds for services already rendered

  • Contact us if you have concerns about billing or services provided

Private Pay/Out-of-Pocket Services:

  • Refunds may be available for prepaid services not yet rendered

  • Must provide written notice of cancellation

  • Refund requests subject to review and approval

  • Services already delivered are not eligible for refund

  • Cancellation fees may apply (see Section 2.3)

2.2 S.O.C.I.A.L. P.O.D.S. Program Refunds

For our S.O.C.I.A.L. P.O.D.S. group therapy program:

Initial Assessment Fees:

  • Non-refundable once assessment is completed

  • May be refunded if we cancel the assessment

Program Enrollment Fees:

  • May be refunded if cancellation occurs before program start date

  • No refund once participant has begun attending sessions

  • See S.O.C.I.A.L. P.O.D.S. specific terms in our Terms and Conditions

Monthly Program Fees:

  • Prorated refunds may be available for unused sessions with 30 days written notice

  • Subject to contract terms and insurance authorization periods

  • Cancellation must be received by the 15th of the month for next month cancellation

2.3 Cancellation and No-Show Policy

Advance Notice Requirements:

  • Sessions cancelled with less than 24 hours notice may be charged at full rate

  • "No-show" appointments (no notice given) will be charged at full rate

  • For insurance-funded clients: no-show fees may be billed to responsible party

  • Chronic cancellations or no-shows may result in service termination

Emergency Situations:

  • Medical emergencies or illness: cancellation fees may be waived with documentation

  • Severe weather or unsafe conditions: we will work with families on rescheduling

Provider-Initiated Cancellations:

  • No charge to client

  • Make-up session will be offered or credit applied

  • We will provide as much advance notice as possible

2.4 Program or Service Discontinuation

If KEBM Discontinues Services:

  • Refund of any prepaid amounts for services not rendered

  • Reasonable notice will be provided

  • Assistance with transition to alternative providers

If Client Discontinues Services:

  • Written notice required (typically 30 days)

  • Prorated refund may be available for prepaid services not yet rendered

  • Subject to contract terms and minimum commitment periods

  • Outstanding balances remain due

3. REFUNDS FOR CONSULTATIONS AND ASSESSMENTS

3.1 Initial Consultations

Free Consultations:

  • No refund applicable (complimentary service)

Paid Consultations:

  • Cancellations with 48+ hours notice: full refund or reschedule

  • Cancellations with 24-48 hours notice: 50% refund or reschedule

  • Cancellations with less than 24 hours notice: no refund

  • No-show: no refund

3.2 Comprehensive Assessments

Behavioral Assessments (FBA, VB-MAPP, etc.):

  • Non-refundable once assessment has begun

  • Full refund if we cancel the assessment

  • Rescheduling fees may apply for client-initiated changes within 48 hours

Report Writing Fees:

  • Non-refundable once report writing has commenced

  • If dissatisfied with report, we will work to address concerns and revise as appropriate

4. PROCESSING YOUR REFUND

4.1 Refund Timeline

Once your refund request has been received and accepted:

  1. Review and Approval: 2-3 business days

  2. Processing: 3-5 business days

  3. Reflection in Account: 3-10 business days (depending on financial institution)

Total Timeline: Expect 7-15 business days from approval to funds appearing in your account

4.2 Refund Method

Your refund will be processed via the original payment method:

  • Credit/Debit Card: Refund to the card used for purchase

  • PayPal: Refund to your PayPal account

  • Stripe: Refund processed through Stripe to original payment method

  • Check/Cash: Refund by check mailed to address on file

  • Insurance: Processed according to insurance company requirements

4.3 Partial Refunds

In some circumstances, partial refunds may be issued:

  • Course partially completed (prorated based on content accessed)

  • Services partially delivered

  • Administrative fees or processing costs

  • Materials or resources already provided

  • Cancellation outside of refund window with extenuating circumstances

4.4 Refund Confirmation

You will receive email confirmation when:

  1. Your refund request is received

  2. Your refund is approved or denied (with explanation if denied)

  3. Your refund is processed

  4. Your refund should appear in your account (with tracking if applicable)

4.5 Refund Delays

If you have not received your refund within the expected timeframe:

First, check:

  • Your original payment method/account

  • Spam or junk email folders for confirmation

  • Your financial institution for processing delays

5. DENIED REFUND REQUESTS

Refund requests may be denied in the following circumstances:

  • Request made outside of the 7-day window (for courses/digital products)

  • Substantial content or services already accessed/delivered

  • Violation of our Terms and Conditions

  • Fraudulent activity or abuse of refund policy

  • Course or service substantially completed

  • Physical materials already shipped and received

  • Services rendered in accordance with agreed-upon treatment plan

If Your Refund is Denied:

  • You will receive written explanation

  • You may appeal the decision with additional information

  • You may request alternative resolution (credit, exchange, etc.)

  • You may file a complaint per our complaint procedures

6. CREDITS AND EXCHANGES

6.1 Course Credits

As an alternative to refunds, we may offer:

  • Credit toward another course or program

  • Extension of access to current course

  • Upgrade to different course of equal or greater value

  • Transfer of enrollment to another person (subject to approval)

6.2 Service Credits

For therapy services:

  • Credit applied to future sessions

  • Transfer of unused prepaid sessions to different service type (subject to approval)

  • Application of credit to family member receiving services

Credit Expiration:

  • Course credits: Valid for 12 months from issue date

  • Service credits: Valid for 6 months or until insurance authorization expires

  • Credits are non-transferable and non-refundable after issue

7. INSURANCE-RELATED REFUNDS

7.1 Insurance Claim Adjustments

If insurance pays differently than expected:

  • Overpayments: Refund processed within 30 days

  • Underpayments: Additional balance due may be billed to responsible party

  • Claim denials: Responsible party will be billed per contract terms

7.2 Retroactive Authorization Denials

If insurance retroactively denies authorization for services already provided:

  • Responsible party becomes liable for full charges

  • Payment plan options available upon request

  • We will work with you to appeal insurance denials when appropriate

7.3 Coordination of Benefits

If there are multiple insurance coverages:

  • We will coordinate benefits appropriately

  • Refunds of overpayments will be processed promptly

  • Additional balances due will be billed as determined

8. SPECIAL CIRCUMSTANCES

8.1 Extenuating Circumstances

We will consider refund requests outside normal policy parameters for:

  • Serious illness or injury

  • Family emergencies

  • Relocation outside service area

  • Death of family member

  • Other significant hardship

To request exception:

  • Submit written request with documentation

  • Explain circumstances and reason for exception

  • We will review on case-by-case basis

  • Decision will be communicated within 5 business days

8.2 Military Deployment

Active duty military personnel who are deployed:

  • Full refund or credit for unused prepaid services

  • Course access extended or transferred

  • Requires copy of deployment orders

  • Reinstatement available upon return

8.3 Provider Relocation or Retirement

If your assigned BCBA or therapist leaves:

  • Services will continue with new provider

  • No refund required (services continue)

  • If you choose to discontinue: standard refund policy applies

  • Transition support provided

9. DISPUTES AND APPEALS

9.1 Disputing a Refund Decision

If you disagree with a refund decision:

  1. Informal Resolution:

    • Contact our Customer Service team

    • Explain your concern and desired resolution

    • We will review and respond within 3-5 business days

  2. Formal Appeal:

    • Submit written appeal to admin@keyessentialsbm.com

    • Include all relevant documentation

    • Appeal will be reviewed by management

    • Response within 7-10 business days

  3. Escalation:

    • Request review by Privacy Officer or designee

    • Final decision will be made within 14 business days

    • Decision is binding unless resolved through legal means

9.2 Chargeback Policy

Before Filing a Chargeback:

  • Please contact us directly to resolve billing disputes

  • Most issues can be resolved without chargebacks

  • Chargebacks may result in account suspension

If You File a Chargeback:

  • We will respond to your financial institution with documentation

  • Your account may be suspended pending resolution

  • If chargeback is reversed in our favor, you remain liable for charges

  • Fraudulent chargebacks may result in service termination and legal action

10. REFUND POLICY FOR SPECIFIC SERVICES

10.1 Parent Training Sessions

  • Refundable up to 48 hours before scheduled session

  • Within 48 hours: 50% refund or reschedule available

  • No-show: no refund

10.2 Workshops and Group Events

  • Refundable up to 7 days before event: full refund

  • 3-7 days before event: 50% refund

  • Within 3 days of event: no refund (credit toward future event may be offered)

  • Event cancellation by KEBM: full refund

10.3 Membership or Subscription Services

  • Cancel anytime with written notice

  • Refund of unused portion if paid in advance

  • Monthly subscriptions: cancellation effective at end of current billing period

  • Annual subscriptions: prorated refund after 30 days

10.4 Materials and Equipment

Sensory Materials or Therapy Tools:

  • Refundable within 14 days if unused and in original packaging

  • Return shipping costs paid by customer

  • 15% restocking fee may apply

  • Custom or personalized items: non-refundable

11. CALIFORNIA-SPECIFIC PROVISIONS

11.1 California Consumer Rights

As a California-based business, we comply with California consumer protection laws, including:

  • Right to cancel certain service contracts within 3 business days (cooling-off period)

  • Right to clear disclosure of cancellation and refund policies

  • Protection against unfair or deceptive business practices

11.2 California Cancellation Notice

California law requires we inform you of your right to cancel certain contracts within 3 business days of signing. This applies to in-home consultation contracts over $25. You will receive a separate Notice of Cancellation with applicable contracts.

12. CHANGES TO THIS REFUND POLICY

We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website.

  • Continued use of services constitutes acceptance of changes
